This policy explains what information TheChen Bot collects when you use it in the TheCohen Discord community, why it is needed, how long it is kept, and how you can ask for it to be removed.

Who we are

TheChen Bot ("the bot", "we") is a Discord bot run by the management team of TheCohen, a Hebrew-speaking gaming community on Discord. The bot only works inside the Discord servers it was added to by our team. It is not a commercial product and we do not make money from your data.

What we collect

The bot only receives what Discord sends it. Depending on which features you use, it stores the following:

The 16+ exam is recorded only after a tester starts it with a command in the exam voice channel, and the exam is announced in the channel. The recording stops when the tester leaves. It is posted to a private staff channel that only the 16+ team can see.

What we do not collect

• We do not read the content of your messages in server channels. The bot does not have Discord's Message Content access. It sees a message's author, channel and mentions, which is enough to count activity.
• We do not record voice channels, apart from the 16+ verification exam described above.
• We do not collect your email address, IP address, phone number, payment details or real-world identity.
• We do not track you outside the TheCohen servers.

How we use it

• To run the community features: points, levels, daily questions, quests, games, the shop and events.
• To give and manage roles, for example the game update roles and rewards.
• To moderate the server, handle reports and keep a record of decisions for appeals.
• To verify age for the 16+ area.
• To produce activity reports about the staff team for the managers.
• To protect the server from raids and unwanted bots.

We do not use your data for advertising, profiling or training AI models, and we never sell it.

The TheCohen website

When the bot is connected to the community website (thecohen.site), it also writes staff membership, activity totals, form and application updates, and TheCohen Oscars votes cast in Discord to the website's database, so the website and the bot follow the same records. The Hebrew sections above describe what the website stores.

Sharing

• Discord. Everything the bot does goes through Discord, under Discord's Privacy Policy.
• Our staff. Moderation records, report evidence, recordings and logs are visible only to the staff roles that need them, in private staff channels.
• Our hosting providers. The bot's data is stored on a private server rented from a hosting company and, for website features, in the website's database (Supabase, Frankfurt). These providers do not use the data for their own purposes.

We do not share your data with anyone else, unless the law requires it.

How long we keep it

• Points, XP, streaks and other community progress: while you are part of the community, or until you ask us to delete it.
• Staff activity counts: up to about 400 days.
• Finished 16+ verification requests: 90 days. Exam recordings stay in the private staff channel until the 16+ team deletes them.
• Moderation records and ban warnings: as long as they are needed to enforce the rules and handle appeals.
• Report evidence: until the report is no longer needed.

Storage and security

The data is stored on private servers that only the bot's administrators can access. Staff channels that hold logs, evidence and recordings are restricted by Discord permissions. No system is perfectly secure, but we limit access to the people who need it.

Your choices and rights

• See your data. Ask us for a copy of what the bot stores about you.
• Delete your data. Ask us to delete your stored data. Some moderation records may be kept where they are needed to keep the server safe.
• Remove a role. You can remove the game update roles at any time. The bot gives them only once and will not add them back.
• Stop using the bot. Leaving the server stops any new data being collected.

To make a request, contact the TheCohen management team on Discord (send a direct message to one of the server's Managers). We answer within 30 days.

Age

The bot is meant for people who are allowed to use Discord under Discord's Terms of Service (13 or older, or older where local law requires). The 16+ area of the server is limited to members who pass the age verification.

Changes and contact

If we change this policy, we will update the date at the top of this section and announce important changes in the TheCohen server. For any question about your data, contact the TheCohen management team on Discord.
